MindxBridge Terms & Conditions


  1. Participation By reserving a seat, you agree to actively follow the research workflow and collaborate with your assigned cohort in a professional and timely manner.

  2. Seat Reservation & Payment Structure

MindxBridge operates a priority seat reservation system for research cohort programs. Enrollment is completed in two stages:

2.1 Reservation Deposit A non-refundable reservation deposit is required to secure your seat in the cohort. This deposit confirms your intent to participate and guarantees your position in the assigned project. The reservation deposit amount is displayed at the time of purchase and is subject to change across cohorts.

2.2 Balance Payment The remaining balance of the total program fee becomes due upon official project launch. Participants will receive a payment link via email no less than 72 hours before the project launch date. Failure to complete the balance payment within the specified window will result in forfeiture of the reserved seat. In such cases, the reservation deposit will not be refunded.

2.3 Total Program Fee The total program fee consists of the reservation deposit plus the balance payment. The total fee applicable to your enrollment is displayed at the time of purchase and confirmed in your reservation confirmation email.

2.4 Acknowledgment By completing the reservation deposit, you confirm that you have read and understood the two-stage payment structure, that the reservation deposit is non-refundable under all circumstances, and that you commit to completing the balance payment upon project launch.

  1. Data & Ownership Your personal information is used solely to assign you to a cohort and, where applicable, to include your name in journal submissions. All personal data you provide remains yours. Manuscripts produced during the project are copyrighted works and remain the intellectual property of MindXBridge.

  2. Submission & Academic Support MindXBridge manages manuscript submission, provides expert guidance and polishing, and ensures continuous updates throughout the research lifecycle.

  3. Contribution, Inactivity & Refund Policy Active contribution is required to maintain authorship. Participants who fail to contribute meaningfully will receive up to three formal notifications. Continued inactivity after these notices will result in removal of the participant's name from the manuscript to preserve ethical authorship standards. In such cases, no refund will be issued. A full refund is only applicable if MindXBridge fails to submit the manuscript within 8 weeks of project initiation.

  4. Confidentiality All project materials, discussions, and data are confidential and accessible only to authorized MindXBridge staff and assigned cohort members.

  5. Responsibility & Liability Participants are responsible for timely communication and task completion. MindXBridge is not liable for delays or outcomes affected by participant inactivity or journal editorial decisions.

  6. Authorship & Intellectual Property Authorship is contingent on active contribution in accordance with ethical research guidelines. While you retain rights over your personal data, manuscripts produced under MindXBridge programs remain the property of MindXBridge, which is authorized to manage and facilitate submissions.

  7. Community Access Participants receive lifetime access to the MindXBridge research community, including opportunities to lead future projects, propose research ideas, and receive conference preparation support.

  8. Editing, Formatting & Academic Services

This section applies to all editing, formatting, and academic support services offered by MindxBridge, including proofreading, academic editing, plagiarism & AI reduction, manuscript formatting, references clean-up, cover letters, reviewer response editing, similarity reports (iThenticate/Turnitin), manuscript peer-reviewing, statistical analysis, power/sample size reports, database article searches, graphical abstracts, conference posters, slide deck design, and bundled packages.

10.1 Service Nature All editing, formatting, and academic support services are classified as personalized professional services. MindxBridge does not ghostwrite full manuscripts, fabricate data, or guarantee journal acceptance, specific similarity scores, or any particular academic outcome.

10.2 Orders & Payment Full payment is required before work begins. Quotes are valid for seven (7) days from issuance. An order is confirmed once payment is received and all required materials have been submitted by the Client.

10.3 Client Responsibilities The Client is responsible for providing complete, accurate materials and clear instructions at the time of ordering, responding to communications within 48 hours, and ensuring all submitted content is original and does not infringe third-party rights. Failure to do so may extend turnaround times and does not entitle the Client to a refund.

10.4 Turnaround & Delivery Estimated turnaround times are listed on the MindxBridge website and begin from the business day after payment confirmation and receipt of all materials. Express (48h) and Rush (24h) options are available at additional cost, subject to capacity. Deliverables are sent electronically. MindxBridge is not liable for delays caused by incomplete client submissions or circumstances beyond our reasonable control.

10.5 Revisions One (1) revision round is included at no extra charge for the following services:

  • Academic Editing
  • Proofreading
  • Plagiarism & AI Reduction
  • Manuscript Formatting
  • References Clean-up
  • Cover Letter
  • Reviewer Response Editing
  • Graphical Abstract
  • Conference Poster
  • Slide Deck Design
  • Statistical Analysis Package
  • Power / Sample Size Report

To qualify for the included revision, the following conditions must be met:

  • The revision request must be submitted within 7 calendar days of delivery.
  • The revision must remain within the original scope (same document, same journal, same service).
  • Feedback must be clear, specific, and consolidated in a single communication.
  • New content, expanded scope, or a change of target journal will be quoted as a new order.

The following services are delivered as final outputs and do not include a revision round:

  • Similarity Report (iThenticate)
  • Similarity & AI Report (Turnitin)
  • Database Article Search
  • Manuscript Peer-Reviewing

Any revision requests beyond the included round, or submitted after the 7-day window, are treated as new orders and quoted accordingly.

10.6 Refund Policy All sales are final. No refunds are issued once payment is confirmed. This applies to all editing, formatting, and academic services without exception, due to their personalized and labor-intensive nature.

Refunds will not be issued on the basis of journal rejection, reviewer feedback, similarity or AI scores not meeting expectations, or subjective dissatisfaction with style or tone.

A refund may be considered only if MindxBridge completely fails to deliver the agreed deliverable within double (2×) the original estimated turnaround, no partial deliverable was provided, and the delay is solely attributable to MindxBridge. A written request must be submitted to support@mindxbridge.com within 14 days of the expected delivery date. Approval is at MindxBridge's sole discretion.

10.7 Chargebacks Filing a fraudulent or unjustified chargeback constitutes a breach of these Terms. MindxBridge reserves the right to contest the chargeback, withhold deliverables, and pursue legal remedies including recovery of the disputed amount.

10.8 Intellectual Property The Client retains ownership of their original manuscript content. Upon full payment, the Client receives a non-exclusive license to use the deliverables for their intended academic or professional purpose. MindxBridge retains the right to use anonymized, de-identified examples of its work for internal training and quality assurance.

10.9 Confidentiality All client submissions are treated as strictly confidential. MindxBridge will not share client content or data with any third party except authorized staff performing the service, or where required by Saudi law.

10.10 Academic Integrity MindxBridge does not ghostwrite manuscripts, fabricate data, or engage in research misconduct. The Client is solely responsible for the accuracy and integrity of their research. Any editing certificate provided attests only to language editing and does not imply endorsement of the research content.

10.11 Limitation of Liability MindxBridge's total liability for any claim arising from editing, formatting, or academic services shall not exceed the amount paid by the Client for the specific order giving rise to the claim. MindxBridge is not liable for indirect, consequential, or punitive damages, nor for decisions made by journals, reviewers, or academic institutions.

  1. CV & Career Services

11.1 Activation Codes & Digital Products All purchases of CV activation codes, digital products, and electronically delivered services are final and non-refundable. Each completed purchase generates one unique activation code intended for single-user use only.

Activation codes cannot be exchanged for cash, cannot be replaced if lost, shared, or misused, and are void if fraud or abuse is suspected.

11.2 Service Nature CV optimization, CV creation, and LinkedIn consultation services are classified as personalized professional services. Due to their customized nature, these services are non-refundable once work has commenced.

11.3 Booking Responsibility For 1-on-1 consultation sessions, the client is solely responsible for scheduling the appointment via the designated booking system, providing accurate contact information, and attending the confirmed session on time.

11.4 Missed Appointments (No-Show Policy) A session is considered a missed appointment if the client fails to attend the scheduled meeting or arrives more than 15 minutes late without prior notice.

If two (2) appointments are missed without prior communication, the service is deemed forfeited, the purchase becomes non-refundable, and remaining sessions if any may be cancelled. Any exception or additional rescheduling is strictly at the discretion of MindxBridge Administration.

11.5 Rescheduling Clients may reschedule with at least 24 hours' notice. Late rescheduling requests may be treated as a missed appointment.

11.6 Exceptional Circumstances MindxBridge may consider rescheduling in cases of medical emergencies, technical failures, or documented unforeseen events. Approval is not guaranteed.

11.7 Data Retention & Confidentiality

11.7.1 Data Storage Period Personal information and documents provided for CV & Career Services will be securely stored for a period of one (1) year (365 days) from the date of purchase or service activation.

11.7.2 Purpose Limitation Stored data is retained solely for service delivery purposes including CV creation, CV optimization, client-requested revisions, and service continuity and support. Personal information will not be used for advertising, promotional campaigns, or unsolicited communications.

11.7.3 No Marketing Use Client data and documents are never used for marketing purposes unless the client provides explicit, separate consent.

11.7.4 No Third-Party Sharing Personal information, CV content, and uploaded documents will not be sold, rented, or shared with third parties, except where required by law or necessary for essential service infrastructure such as secure hosting providers.

11.7.5 Data Deletion Upon completion of the 365-day period, client data may be permanently deleted from active systems. MindxBridge is under no obligation to retain archives and recovery after deletion is not guaranteed. Clients may request earlier deletion by contacting support.

  1. Governing Law & Dispute Resolution These terms are governed by the laws of the Kingdom of Saudi Arabia. Disputes will first be addressed through mediation and, if unresolved, through Saudi courts.

  2. Updates & Modifications MindXBridge reserves the right to update workflows or policies. Participants will be notified of any material changes.
